TURKISH PERSONAL DATA PROTECTION LAW NO. 6698 (KVKK)
Data Protection Notice
This notice has been prepared under Article 10 of the Turkish Personal Data Protection Law No. 6698 (KVKK) to explain how the personal data of those who apply to and attend the USBED Conference is processed.
1. Data Controller
Your personal data is processed by the USBED Conference Organising Committee in its capacity as data controller.

2. Personal Data Processed
- Identity data: first name, surname, academic title
- Contact data: e-mail address, telephone number
- Professional data: institution, faculty/department, country
- Academic identifier: ORCID number
- Paper content: title, abstract, full text and uploaded file
- Attendance data: presentation preference, presentation language, mode of attendance
3. Purposes of Processing
- Receiving paper submissions and conducting peer review
- Preparing acceptance/rejection notifications and acceptance letters
- Creating and announcing the conference programme
- Issuing certificates of attendance
- Publishing papers in the ISBN conference book
- Handling registration fees and accounting processes
- Communicating about the conference organisation
4. Legal Basis
Your personal data is processed on the legal grounds of being directly related to the establishment or performance of a contract under KVKK Art. 5/2-(c), and the legitimate interests of the data controller under Art. 5/2-(f).
Marketing-type processing, such as sending conference announcements, is carried out only with your explicit consent. Giving that consent is not required for your submission to be assessed and you may withdraw it at any time.
5. Transfer of Data
The content of your paper is transferred to the members of the conference scientific committee and reviewers as part of the review process. Review is carried out blind.
Accepted papers are published publicly in the conference programme and the ISBN proceedings book, together with the author’s name and institution. By submitting a paper you are deemed to have accepted this publication.
Transfer abroad. In the following two cases your data is processed on the servers of service providers established abroad:
- Bot protection service. The paper submission form uses Cloudflare Turnstile to block automated submissions. In this context your IP address and technical data about your browser are processed by Cloudflare, Inc. (USA). The service uses no cookies, performs no personal profiling and collects no data for advertising; it only assesses whether the request comes from a human. The legal basis for this processing is the legitimate interest in securing the form (KVKK Art. 5/2-(f)).
- E-mail correspondence. The conference secretariat conducts its correspondence through an e-mail service operated by Google LLC (USA). Submission notifications, your paper file and correspondence with you are therefore also held on that provider’s servers.
Apart from these, your personal data is not shared with third parties or transferred abroad, other than where required by law.
6. Retention Period
Submission data and uploaded files are kept for 2 years after the conference ends and are deleted at the end of that period.
Texts published in the proceedings book constitute scholarly publications and are therefore permanent, not subject to a retention limit.
7. Your Rights (KVKK Art. 11)
- To learn whether your personal data is being processed and to request information about it
- To learn the purpose of processing and whether the data is used in line with that purpose
- To know the parties to whom the data is transferred
- To request correction if the data is incomplete or inaccurate
- To request erasure or destruction where the conditions are met
- To object if an adverse outcome arises from automated analysis
- To claim compensation if you suffer loss due to unlawful processing
