Participant Guide

Please follow the steps below for conference participation, and if you have any questions, please feel free to email usbedconference@gmail.com

1. Fill the registration section completely on the conference website (https://usbed.org/registration/) and submit the form with your abstract/full text.

2. Feedback will be sent to the email address you provided on the form within 5 days, indicating whether your application has been accepted or rejected. Please wait for this feedback.

3. If your application is accepted, you will receive an email with a signed acceptance letter and fee payment information.

4. Transfer the fee, as advertised on the website, appropriate for your type of participation. If the sender and participant are not the same person, only the participant’s name should be included in the description. No further explanation is required.

5. Prepare your abstract or full text using the APA 7  and following the conference writing Template. The conference writing template is provided as a sample and is necessary for formatting purposes. The headings in the template may not exactly match your paper. You can define the titles of your paper as you wish.

Abstract length: 100-200 words

Full text length: 1000-9000 words

Reference system: APA 7

6. Prepare your abstract or full text in WORD, DOC, or DOCX format and send it to usbedconference@gmail.com within the deadline.

7. Wait for the conference program to be announced. Review the program. If you find any errors in your information, please request corrections by contacting usbedconference@gmail.com

8. If you are attending in person, please be at the announced conference location by 8:30 a.m. on the day of the conference. Arrive at the designated hall 15 minutes prior to your scheduled session time and deliver your presentation as directed by the moderator.

For cybersecurity reasons, moderators may not allow external hard drives to be connected to computers in the hall. Therefore, if you plan to use a presentation or computer, please email your files to your moderators before the session time.

Keep in close communication with your moderators and organizers regarding conference events. It is crucial to immediately notify organizers of any changes. Activities (such as museum entrances, cruises, vehicle transfers, and meals) are scheduled using the guest lists. To avoid disruptions, please pay attention to the provided times and notify them immediately of any changes to your personal schedule.

9. If you are an online participant, consider any possible time differences based on your location. Türkiye is located in the UTC +3 time zone. If you are attending from a different location, please adjust your time to Turkish Standard Time (UTC +03:00). The session times announced in the conference program are based on Turkish Standard Time (Türkiye time).

The participation links announced in the conference program and emailed to you are active throughout the day. Connect to the relevant hall’s session at least 10 minutes before the scheduled start time.

Ensure your internet connection is stable and reliable in your location.

If you have a file you will use during the presentation, you can email it to your moderators in advance.

10. Participants who do not present will not receive a certificate of participation, their text will not be published in the conference book, and no refunds will be made.

11. Those who present and attend in person will receive a hard copy of their certificate. Certificates for online participants will be emailed.

12. The conference book will be published after preparations are completed. The book will be emailed to all participants as a PDF.

13. Those who wish to publish their papers in the USBED Journal rather than the conference book can submit their full papers to the USBED Journal separately. The publication and evaluation conditions of the USBED Journal differ significantly from those of the USBED Conference, and the USBED Journal does not guarantee that it will publish papers presented at the conference.

Lütfen konferans katılımıyla ilgili aşağıdaki adımları izleyin ve herhangi bir sorunuz olursa usbedconference@gmail.com adresine e-posta göndermekten çekinmeyin.

  1. Konferans web sitesindeki registration (https://usbed.org/registration/) bölümünü tam olarak doldurun ve özetinizi/tam metninizi ekleyerek formu gönderin.
  2. Başvurunuzun kabul veya reddedildiğine dair formda belirttiğiniz e-posta adresine en geç 5 gün içerisinde geri bildirim verilecektir. Bu geribildirimi bekleyin.
  3. Başvurunuz kabul edildiyse imzalı bir kabul mektubu ve ücret ödeme bilgilerini içeren bir e-posta alacaksınız.
  4. Web sitesinde ilan edilen ve katılım türünüze uygun olan ücreti gönderiniz. Gönderen ile katılımcı aynı kişi değilse açıklama kısmına sadece katılımcının adı yazılmalıdır. Bunun dışında açıklama yazmaya gerek yoktur.
  5. Özetinizi veya tam metninizi APA 7 referans sistemi kullanarak ve yazım Şablonuna Template uygun olarak hazırlayınız. Konferans yazım şablonu örnek olarak konulmuştur ve biçimsel düzenlemeler için gereklidir. Şablondaki başlıklar sizin yazınızla birebir örtüşmeyebilir. Çalışmanızdaki başlıkları dilediğiniz gibi belirleyebilirsiniz.

6. Özetinizi veya tam metninizi WORD, DOC, DOCX formatlarından birine göre hazırlayarak süresi içinde usbedconference@gmail.com adresine gönderin.

7. Konferans programının ilan edilmesini bekleyin. Programı inceleyin. Bilgilerinizde herhangi bir hata var ise usbedconference@gmail.com adresiyle yazışarak düzeltilmesini talep edin.

8. Yüz yüze katılımcıysanız konferans günü en geç 08.30’da ilan edilen konferans mahallinde hazır olun. Oturum saatinizden 15 dakika önce ilgili salona geçin ve moderatörün yönlendirmesi doğrultusunda sunumunuzu gerçekleştirin.

Moderatörler siber güvenlik gerekçesiyle salondaki bilgisayarlara harici bir disk bağlanmasına izin vermeyebilir. Bu nedenle sunum ve bilgisayar kullanacaksanız dosyalarınızı oturum saatinden önce eposta ile moderatörlerinize iletin.

Konferans süresince yapılacak etkinlikler konusunda moderatörleriniz ve organizasyon görevlileriyle sıkı bir iletişim kurun. Olası değişiklikleri organizasyon sorumlularına anında bildirmeniz çok önemlidir. Etkinlikler (müze girişleri, gemi turları, araç transferleri, yemek vb.) kişi listeleri üzerinden yapıldığı için aksama yaşanmaması adına size bildirilen saatlere özen gösterin ve şahsınızla ilgili değişiklik olursa anında bildirin.

9. Çevrimiçi katılımcıysanız bulunduğunuz konuma göre olası saat farklarını hesaplayın. Türkiye GMT +3 saatinde yer almaktadır. Farklı bir lokasyondan katılacaksanız saatinizi Türkiye saatine uyarlayın. Konferans programında ilan edilen oturum saatleri Türkiye lokasyonunu ölçüt almaktadır. 

Konferans programında ilan edilen ve size eposta ile iletilen katılım linkleri gün boyu çalışmaktadır. Oturum saatinden önce ilgili salonun oturumuna bağlanın.

Bulunduğunuz yerde internetinizin sabit ve güçlü olduğundan emin olun.

Sunum esnasında kullanacağınız dosya varsa bunu önceden moderatörlerinize eposta ile gönderebilirsiniz.

10. Sunum yapmayan katılımcılara katılım sertifikası verilmeyecek, metinleri konferans kitabında basılmayacak ve ücret iadesi yapılmayacaktır.

11. Sunumlarını yapan ve şahsen katılım sağlayanlar sertifikaları basılı nüsha olarak verilecektir. Çevrimiçi katılımcıların sertifikaları eposta ile gönderilecektir.

12. Hazırlıkların tamamlanmasının ardından konferans kitabı yayımlanacaktır. Kitap PDF olarak tüm katılımcılara eposta ile gönderilecektir.

13. Bildirisini konferans kitabında değil de USBED Dergide yayımlamak isteyenler, tam metinlerini USBED Dergiye ayrıca gönderebilirler. USBED Derginin yayım ve değerlendirme koşulların USBED Konferanstan tamamen farklı olup USBED Dergi, konferansta sunulan bildirileri yayımlayacağını garanti etmemektedir.
